Freelancers often lose time at month end because receipts are scattered across email, wallets, phone galleries, and messaging apps. A small filing routine prevents that problem.

Use a folder structure by year and month, then optionally by category. Example: 2026/07-travel, 2026/07-software, and 2026/07-office. Name files with the date, vendor, and total so they remain searchable even outside accounting software.

Add a short business note when context may be unclear later. A restaurant receipt, train ticket, or hardware purchase is easier to justify when the project or client is recorded next to it.

Once per week, review new receipts. Check that images are readable, totals are correct, and categories are assigned. Five minutes each week is easier than reconstructing a month of spending from memory.

Keep the original image and the exported spreadsheet together. The spreadsheet helps analysis; the image is the supporting document. Back up both in a secure location and avoid sharing receipts that contain personal data with people who do not need access.
